# Retreat Refund Policy
**Effective for the Retreat commencing December 18, 2025**
This Refund Policy applies to all registrations for the international retreat (the "Retreat") held outside the United States. All payments are processed in USD (or the equivalent local currency at the time of booking). By completing your registration, you agree to the terms outlined below.
## 1. Non-Refundable Deposit
- A **25% deposit** of the total Retreat fee is **non-refundable** starting **14 days after the date of payment** (the "Deposit Lock-In Date").
- If you cancel **on or before the Deposit Lock-In Date**, the 25% deposit will be refunded in full, minus any applicable processing fees (e.g., credit card or wire transfer fees).
## 2. Cancellations More Than 14 Days Before the Retreat
- Cancellations received **in writing** (via email to [insert retreat contact email]) **more than 14 days prior to the Retreat start date (i.e., before December 4, 2025)** will receive a refund of all payments **minus the 25% non-refundable deposit**.
- Refunds will be processed within 30 days of cancellation confirmation.
## 3. Cancellations Within 14 Days of the Retreat
- Cancellations received **on or after December 4, 2025** (14 days before the Retreat start date) are **100% non-refundable**. No refunds or credits will be issued, regardless of reason (including medical emergencies, travel restrictions, or force majeure events).
## 4. No-Show Policy
- Participants who do not attend the Retreat without prior written cancellation will forfeit the entire fee. No refunds or credits will be provided.
## 5. Transfer of Registration
- Registration may be transferred to another individual **up to 30 days before the Retreat start date (November 18, 2025)**, subject to approval by the Retreat organizers and payment of a $150 administrative fee.
- Transfers within 30 days of the Retreat are not permitted.
## 6. Retreat Cancellation by Organizers
- In the unlikely event the Retreat is cancelled by the organizers, all participants will receive a **full refund** of payments made, including the 25% deposit.
- Organizers are not responsible for reimbursing travel, accommodation, or other incidental costs.
## 7. Force Majeure
- Refunds will not be issued for cancellations due to unforeseen events outside our control, including but not limited to: natural disasters, pandemics, government travel bans, airline cancellations, or personal emergencies.
- Travel insurance is **strongly recommended** to cover such scenarios.
## 8. How to Cancel
- All cancellation requests must be submitted in writing to **[insert retreat contact email]** with the subject line: "Retreat Cancellation – [Your Full Name]".
- Include your booking reference number and reason for cancellation (optional).
- Verbal cancellations (phone, in-person) will not be accepted.
